Position Overview
Under general direction, performs a variety of administrative functions for the Office of Security and Emergency Preparedness, some of which are complex in nature; serves as correspondence control manager; prepares complex and confidential reports; makes travel arrangements; maintains schedule; prepares vouchers and develops spreadsheets.
Essential Functions - Performs administrative functions for the Office of Security and Emergency Preparedness.
- Serves as correspondence control manager for the Office.
- Assists in the conduct and compliance of research and analysis on security, environment, safety and emergency preparedness and response topics.
- Coordinates and maintains schedule for the Director, including meeting and travel arrangements, agendas, and compilation of support documents.
- Attends meetings on behalf of the Director and other staff and serves as liaison between the Office and other areas of DHS as well as the general public.
- Performs other duties as assigned or required which are reasonably within the scope of duties enumerated above.
Minimum Qualifications - Requires knowledge, skill and mental development equivalent to completion of four (4) years college, preferably with courses in public or business administration.
- Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.
Preferred Qualifications - Two (2) years of professional experience efficiently tracking status and/or completion of assignments across the office to ensure such assignments are thorough and completed with designated time frames.
- Three (3) years of professional experience meeting deadlines with strong attention to detail and to utilize critical thinking skills.
- Two (2) years of professional experience communicating effectively (written and orally) and making recommendations that lead to greater efficiencies and effectiveness within the office and corresponding units.
- Two (2) year of professional experience functioning as a confidential assistant in matters relating to personnel, payroll, client/patient information, program policy or legal/legislative matters.
- Two (2) year of professional experience performing liaison work as a representative of the office director to discuss and/or interpret programs and procedures for the general-public and/or other internal/external entities.
- Two (2) year of professional experience in computer software such as Microsoft Office Suite.
