A local apartment complex is seeking an Office Coordinator who will be on the front lines of interacting with residents and handling their needs as well has first contact for prospective future residents and be responsible for providing financial and administrative support to ensure effective, efficient, and accurate financial and administrative operations. Work hours are Monday through Friday from 8:30 a.m. to 5 p.m.
Job Responsibilities:
Receive and verify invoices and requisitions for goods and services and verify that transactions comply with financial policies and procedures
Prepare batches of invoices, enter invoices for payment, and process backup reports after data entry
Maintain updated vendor files, file numbers, filing system for all financial documents, and a listing of accounts payable
Assist auditors and provide support and documentation on internal processes for accounts payable and receivable
Inform other staff and/or outside parties regarding procedural requirements for the purpose of processing invoices/payments
Maintain financial information, files, and records or the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines
Conduct daily package audits, answer phones and direct to appropriate person, answer leasing and property information questions, give property tours to prospective residents
Submit work orders for residents and coordinate parking registration for retail and staff parking
Perform other duties as assigned
Job Qualifications:
Post-Secondary education such as Associate's Degree or Vocational Degree plus two to five years of relevant experience working in an office setting performing clerical work and customer service is needed
Must have the ability to process and monitor payments, expenditures, as well as, preparing and monitoring vendor documentation
The need to ensure vendors and suppliers are paid within established time limits and records are up to date is required
Must have accurate data entry skills
Must have an articulate and professional communication and phone presence
Must be highly organized and detail-oriented
Must be comfortable climbing, balancing, stooping, kneeling, crouching, or crawling, and occasionally lifting and/or moving up to 25 pounds
